Microsoft 365 uses DNS records to prove domain ownership, route email, secure outgoing messages and help Outlook connect automatically. If these records are missing or incorrect, users may experience failed email delivery, Outlook setup problems, spam filtering issues or authentication warnings.
Common Microsoft 365 DNS records
- MX record: sends incoming mail to Microsoft 365.
- TXT verification record: proves you own the domain.
- SPF TXT record: authorises Microsoft 365 to send email for your domain.
- CNAME Autodiscover: helps Outlook locate mailbox settings automatically.
- DKIM CNAME records: allow Microsoft to sign outgoing email.
- DMARC TXT record: tells receiving servers how to handle failed authentication.
Common mistakes
The most common mistake is changing only the MX record and forgetting SPF, DKIM or Autodiscover. Another common issue is leaving old cPanel, Google Workspace or previous provider records in place, causing conflicting email routing.
Best practice
Before changing DNS, take a copy of the existing zone. If DNS is managed through Cloudflare, the registrar, WHM/cPanel or another platform, make sure changes are made in the correct place.
