Moving from cPanel email to Microsoft 365 is a strong upgrade for business email. Microsoft 365 provides Exchange Online, Outlook integration, larger mailbox options, stronger identity management, MFA, shared mailboxes and better long-term administration.
What changes during migration?
- Your mailbox hosting moves from the web hosting server to Microsoft.
- MX records are updated to deliver mail to Microsoft 365.
- Users sign in with Microsoft accounts.
- Outlook profiles may need to be recreated.
- Mobile devices may need to be reconnected.
- Old mailbox content may need to be migrated using IMAP or another migration method.
Before migration
- List all mailboxes and aliases.
- Confirm passwords or access for source mailboxes.
- Decide which users need licences.
- Review mailbox sizes.
- Check DNS access.
- Agree a cutover time.
After migration
Once MX records are changed, new mail starts routing to Microsoft 365. Old mail can be migrated before or after cutover depending on the migration plan.
Best practice
Do not delete the old cPanel mailboxes immediately after migration. Keep them temporarily until all data has been confirmed and users are working correctly.
