Mailbox Full: What It Means and How to Fix It Print

A full mailbox can stop new email arriving. Depending on the sender and mail provider, messages may bounce, queue temporarily or silently fail delivery after repeated attempts.

Common causes

  • Large attachments.
  • Old sent items.
  • Deleted items not being emptied.
  • Multiple devices saving copies.
  • POP3 settings leaving messages on the server.
  • Mailboxes being used as long-term archives.

How to fix it

  1. Log into webmail.
  2. Delete old or unnecessary messages.
  3. Empty Trash, Deleted Items and Junk folders.
  4. Remove large attachments if no longer needed.
  5. Check Sent Items as well as Inbox.
  6. If required, request a mailbox quota increase.

Long-term recommendation

If email is business-critical or needs long-term archiving, Microsoft 365 or Google Workspace is normally a better fit than basic hosting mail. They offer larger mailbox options, stronger search and better business administration tools.
